TailWerks Essentials

Stop Losing Customers You Already Earned

Essentials is the customer communication and follow-up system for pet businesses. Missed calls trigger a text-back, supported conversations land in one inbox your team watches, and reminders, review requests, rebooking, and reactivation run without relying on somebody remembering every step.

Runs on its own Optional with Foundation or Growth Included in Scale Your team keeps the conversations

$297management fee / month / location

  • Managed CRM infrastructure
  • Client-managed shared inbox
  • Missed-call and lead follow-up
  • Retention workflows

The $297 fee applies to standalone Essentials or Essentials alongside Foundation or Growth. The service is included in Scale with no separate Essentials management fee. Communication usage and approved paid features remain separate. 6-month rolling contracts.

The Problem

The Leak Is Usually Not More Customers

Most pet businesses we talk to do not have a demand problem first. They have a response problem. The phone rings while everyone is holding a dog, the message sits until closing, and the customer books somewhere else.

Where it leaks Missed calls that never get called back

A groomer with both hands on a doodle cannot answer. By the time anyone checks voicemail, that pet owner has called the next salon on the list and booked.

Where it leaks Messages scattered across five places

Calls, texts, website chat, Facebook, Instagram, and email all live somewhere different. Staff check some of them some of the time, and nobody is sure whether a request was seen.

Where it leaks Follow-up that depends on memory

Unfinished forms, quote requests, overdue vaccinations, and pets who have not been in for eight months are all easy to lose when every next step relies on someone remembering to send it.

Where it leaks Reviews you never asked for

Happy clients walk out and say nothing publicly. The people motivated enough to post without being asked are usually the unhappy ones, which is how a good business ends up with a mediocre rating.

Where it leaks The owner becomes the software manager

Buying a platform is not the same as having a system. Somebody still has to connect the phone numbers, build the workflows, write the replies, decide the rules, test the journey, and notice when it breaks. That job usually lands on the owner, on top of running the business.

Essentials answers, follows up, and brings people back.

We configure the managed CRM workspace around how your business runs, test it against your real customer journey, and maintain the repeatable workflows. Your team keeps the conversations and decisions that need a person.

What Is Included

Five Things, Built and Managed for You

This is the whole scope. Essentials is deliberately small, because a small system that actually runs beats a large one nobody trusts.

01

Core CRM Setup and Managed Infrastructure

The account everything else runs on, configured for your business rather than loaded from a template and left half finished.

  • Account setup, phone and messaging configuration, and telecom registration setup
  • Calendars, pipelines, contact fields, and staff permissions
  • Connections to the supported tools you already use
  • Ongoing maintenance, monitoring, and fixes when something breaks
02

Unified Communication Inbox

Supported conversations from your connected channels arrive in one place, so your team checks one screen instead of five apps.

  • One thread per customer across supported channels
  • Approved automated replies for routine questions
  • Anything sensitive, urgent, medical, angry, or unclear is escalated to a person
  • Which channels are included is confirmed with you before we build
03

Missed-Call Text-Back and Lead Follow-Up

A practical starting point for businesses that cannot answer every call while caring for pets.

  • A missed call triggers an automatic text-back
  • New inquiries get a consistent approved first response
  • Approved follow-up continues until they reply, book, opt out, or need a person
  • Opt-out handling is built in and tested before launch
04

Reminders, Reviews, Rebooking, and Reactivation

The retention work every business intends to do and almost none of them do consistently.

  • Appointment confirmations and reminders that support attendance
  • Review requests sent consistently after eligible customer milestones
  • Rebooking prompts on the rhythm your service actually runs on
  • Reactivation for customers who have quietly stopped coming
05

One Prioritized Workflow Improvement Every Month

After the core system is live and tested, we keep improving it. One clearly defined improvement per month, chosen from a priority list we build with you, so each change gets configured and tested properly instead of piling up half-finished automations. Complexity varies, so a small reminder change and a major integration are not treated as equal. Larger builds belong in Scale or a separately approved scope.

Just as Important

What Essentials Is Not

Being clear about the edges of a service up front prevents most of the disappointment that comes later.

Not an outsourced front desk

We build and manage the system. Your team answers the conversations. TailWerks does not staff your inbox, and we will not pretend an automation should be handling a distressed pet owner.

Not advertising

No Google Ads, no Local Service Ads, no Meta ads. Paid advertising starts at Foundation.

Not SEO or a website

Essentials does not include a website build, local SEO, Google Business Profile work, or content. All of that starts at Foundation.

Not advanced AI

AI phone answering, advanced website and text conversations, lead qualification and routing, and custom workflow automation are Scale.

Not a bulk automation dump

We launch the core system, then add one prioritized improvement a month. Loading fifty untested workflows on day one is how automation ends up switched off six weeks later.

Not veterinary advice

Automated replies never give clinical guidance. Diagnoses, medication questions, emergencies, and anything medical route to your qualified staff.

How the Automation Behaves

Speed With Visible Guardrails

Automation can answer quickly without understanding the situation. Essentials is built around approved information, visible handoffs, and a team member taking over when judgment is required.

Approved information only

Routine replies use the hours, services, policies, booking paths, and escalation rules you approved.

Human escalation by design

Urgent, sensitive, medical, angry, unusual, or uncertain conversations route to someone on your team.

Tested before launch

We test triggers, booking paths, opt-outs, exceptions, alerts, and handoffs before you rely on them.

Automation removes repetition. It does not remove judgment. Your team remains responsible for the conversations and decisions that need a person.

Implementation

How Essentials Goes Live

The work moves in phases so the foundation can be tested before more automation is layered onto it. Timing depends on access, approvals, the systems you already use, and what testing uncovers.

Phase 1

Fit and access review

Before anything gets built.

What we do

  • Review your services, hours, staff, locations, and busy patterns
  • Map where calls, messages, forms, and follow-up currently fall through
  • Confirm which channels and tools can actually be connected
  • Agree the priority list for what gets built first

What we need from you

  • Account access for phone, calendars, and booking or practice-management tools
  • Accurate hours, services, pricing rules, and policies
  • One person named as the decision maker for approvals
Phase 2

Build the core system

The main configuration happens here.

What we do

  • Set up the CRM, phone and messaging, telecom registration, and permissions
  • Build the unified inbox and connect supported channels
  • Configure missed-call text-back and new-lead follow-up
  • Write the approved automated replies for your common questions

What we need from you

  • Answer our questions about how your business actually handles each situation
  • Review and approve the reply language before it goes anywhere
  • Tell us what counts as urgent, sensitive, or medical in your business
Phase 3

Test, then go live

Nothing goes live untested.

What we do

  • Run your real customer journey through every trigger and handoff
  • Test booking paths, opt-outs, exception rules, and escalation
  • Fix what the testing surfaces, then launch
  • Walk your team through the inbox and what to expect

What we need from you

  • Have your team try the inbox and tell us what feels wrong
  • Confirm escalation reaches the right person
  • Start working conversations in the shared inbox
Phase 4

Add the retention workflows

Added after the core journey is stable.

What we do

  • Configure confirmations and reminders around your real appointment milestones
  • Set up review requests with proper timing and opt-out handling
  • Build rebooking prompts on the rhythm your service runs on
  • Deliver the first prioritized workflow improvement

What we need from you

  • Approve review-request timing and language
  • Flag anything customers are reacting badly to
  • Pick the first improvement with us
Ongoing

Reactivation and monthly improvements

Built after the core system is working.

What we do

  • Launch approved reactivation for customers who have quietly stopped coming
  • Deliver one prioritized workflow improvement each month
  • Report on what the system did and what still needs attention
  • Adjust anything the initial rollout exposed

What we need from you

  • Read the report and tell us what matters to you
  • Choose the next improvement
  • Keep the business information current as things change
After the initial rollout, the rhythm is steady: the system runs, we monitor it and fix what breaks, and you get one prioritized workflow improvement each month against the list we maintain together.
Responsibilities

Who Does What, Written Down

Most automation projects fail on the middle column. These are the decisions that need your knowledge of the business and our knowledge of the system, and neither side can make them alone.

TailWerks handles

  • Building and configuring the CRM, phone and messaging, calendars, pipelines, and permissions
  • Writing and maintaining the approved automated replies
  • Connecting the supported channels and tools in the confirmed scope
  • Testing triggers, handoffs, opt-outs, and escalation before launch
  • Monitoring the workflows and fixing what breaks
  • One prioritized workflow improvement every month
  • Reporting on what changed and what it produced
  • Telling you when something is out of scope or not worth building yet

We use the platform so your team does not have to become the implementation department.

We do together

  • Deciding which workflows matter most, and in what order
  • Writing the approved answers to your most common customer questions
  • Defining what counts as urgent, sensitive, or medical in your business
  • Walking the customer journey before it goes live
  • Setting review-request timing around real appointment milestones
  • Choosing the improvement each month from the priority list
  • Reading the report and deciding what changes next

These are the meetings that make the difference. They are short, and they are not optional.

You handle

  • Account access for phone, calendars, and booking or practice-management tools
  • Accurate hours, services, pricing rules, policies, staff, and locations
  • Answering the conversations in the shared inbox
  • Handling sensitive, urgent, medical, angry, or unusual messages
  • Approving anything that represents the business publicly
  • Telling us when the business changes, because the system will not know
  • Phone, text, email, registration, and any approved paid-feature or third-party software charges

The system is only as accurate as the business information behind it.

Pricing

$297 per Month, per Location

The $297 monthly management fee per location covers the Essentials setup, maintenance, and support described above, whether you use Essentials on its own or alongside Foundation or Growth. Scale includes this service scope in its private quote, with no separate Essentials management fee. Communication usage and approved paid features remain separate in either case.

Included in the $297

Everything in the five items above: the CRM setup and managed infrastructure, the unified inbox, missed-call text-back and lead follow-up, reminders, review requests, rebooking, reactivation, ongoing monitoring, the monthly workflow improvement, and reporting.

Billed separately

Communication costs: Monthly phone number fees, calls, texts, email usage, and applicable messaging registration, carrier, and recurring campaign fees.

Optional paid features: AI tools and their usage, premium automation actions, paid integrations, and third-party subscriptions, where needed for your agreed setup. We confirm the applicable rates and fees before launch and quote optional additions before activation. Including Essentials in Scale does not remove these charges.

Commitment. Essentials is offered on 6-month rolling contracts.
More than one location? Pricing is per location, and how you want a multi-location business structured is a conversation rather than a formula. Shared numbers or separate ones, shared calendars or separate ones, who sees which inbox, and how reporting rolls up all change the build. We work that out with you before anything is quoted.
Where It Fits

How Essentials Fits Your Package

Essentials is available on its own or as an optional $297 monthly addition per location to Foundation or Growth. Scale includes the Essentials service scope in its private quote. When Scale starts, the separate $297 monthly Essentials management fee per location ends. We build on your existing setup, with any changes defined in the Scale roadmap. Phone, text, email, AI usage, and approved paid-feature or third-party charges remain separate.

Compare every line item across all four on the packages page. The full automation service behind Essentials is documented on the AI Growth Partner page.

Fit Check

Built for Repeat-Visit Pet Businesses

Essentials fits businesses that receive recurring calls and messages, have a team member who can work the shared inbox, and want the repeatable follow-up maintained for them.

A strong fit

Your team can answer escalations, provide accurate business rules, and approve customer-facing language.

A poor fit

You need an outsourced front desk, nobody can watch the inbox, or your primary problem is generating demand.
