Where to start

Which part needs attention?

Nearby pet owners are finding other clinics

Your priority services need clear pages, accurate local listings, and advertising that matches what you offer and when you can see patients.

Inquiries arrive while the team is busy

Missed calls and scattered messages need a reliable response path. Essentials can send a missed-call text and organize supported conversations for your team.

Follow-up depends on someone remembering

Where your software provides the necessary appointment and client data, reminders, rebooking prompts, and reactivation can support your clinic’s existing process.

Too few clients share their experience

A consistent review-request process gives eligible clients the same opportunity to leave feedback, alongside monitoring and thoughtful response support.

What we do for clinics

Built around your services, hours, and capacity

Search advertising

Foundation and up

Google Ads campaigns follow the services you want to grow, your opening hours, and your capacity. A routine exam and an urgent-care inquiry need different pages and handling. Local Services Ads management is included where the clinic is eligible; Google controls verification and placement.

Local visibility and your website

Foundation and up

Google Business Profile, local listings, service pages, and a complete website build within the agreed scope help owners understand your practice and take the next step. Booking links or connections use what your software actually supports.

Follow-up your team can manage

Essentials; included in Scale

A managed communication workspace, missed-call text-back, a shared inbox, and approved routine replies. Reminders, review requests, rebooking, and reactivation depend on the data and connections confirmed before setup. Your team works the inbox and handles escalations.

Social, content, and wider reach

Growth and up

Meta advertising and managed social support approved services, offers, and clinic updates. Your team supplies accurate information and approved photos or footage. Expanded SEO content, link building, and ongoing website improvements support those campaigns.

Advanced automation

Scale, after six months on Growth

Approved routine AI phone support, more advanced conversations, routing, and custom workflows are scoped around your clinic. We confirm supported actions, staff handoffs, and testing requirements before launch. The Essentials service scope is included in Scale, with usage and applicable third-party charges separate.

Example: making dental inquiries easier to handle

A clinic with dental capacity could align its advertising and dental page, explain the next step, and track calls and forms. If Essentials is added, supported inquiries can receive approved follow-up for the team to continue. This illustrates the work; it is not a client result or a forecast.

Pricing for veterinary practices

Choose the right level of marketing and follow-up.

Foundation, Growth, and Scale build on one another. Essentials can run on its own or alongside Foundation or Growth for $297/month per location. Its service scope is included in the private Scale quote, with no separate Essentials management fee. Usage and applicable third-party charges remain separate.

Compare the monthly management fee, clinic fit, and practical work in each option. Final deliverables are agreed in writing.

Essentials

Your clinic receives inquiries, but replies and routine follow-up are hard to keep up with.

Set up the managed communication workspace, missed-call text-back, a shared inbox, and approved routine replies. Add reminders, review requests, rebooking, and reactivation where supported data is available.

One small prioritized workflow improvement each month once the core system is operating. Your team handles conversations. Standalone Essentials does not include advertising, SEO, a website, or AI phone answering. Its service scope is included when you move to Scale.

Your search foundation is working and you can support more channels, content, and campaigns.

Keep Foundation running and add Meta advertising, managed social media, expanded SEO content, link building, and ongoing website improvements.

Scale

Quoted privatelyafter six months on GrowthScale details

Marketing is producing demand, and handling routine inquiries and staff handoffs is the next constraint.

Keep Growth running, include the Essentials communication and follow-up service, and add approved routine AI phone support, advanced conversations, lead routing, custom workflows, automation audits, and content and production work within the agreed allocation.

For your clinic: scope routine overflow calls and handoffs around supported systems and staff availability. Medical questions follow your approved staff handoff. The separate $297 monthly Essentials fee per location ends when Scale starts; usage and applicable third-party charges continue. vCMO and complex multi-location systems are scoped separately.

Multiple locations or a franchise?

Multi-location and franchise pricing is custom. Reach out and we will work through what each clinic needs, what can be shared, and the right setup and pricing for your group or franchise.

Budget beyond the fee: Ad spend is paid separately to the platforms. Applicable hosting, phone, SMS, email, registration, AI usage, premium automation, integration, and third-party software costs are separate, including when Essentials is bundled into Scale. We identify the applicable charges and how they are billed before activating the related features.

Using both: Foundation plus Essentials starts at $1,294/month per location. Growth plus Essentials starts at $1,794/month per location. Scale includes the Essentials service scope in its private quote. Ad spend, usage, and applicable outside costs are additional.

Scope and commitment: Essentials uses a six-month rolling contract. Foundation has an initial six-month commitment; Growth uses a six-month rolling contract. Scale is quoted privately, requires six months on Growth first, and uses a six-month rolling contract. Your agreement states the final scope, fees, renewal, and termination terms.

Inside the practice

Your software and your team shape the setup

Connections confirmed before promises

We check available access, appointment events, client data, and supported actions in your practice-management tools before agreeing to booking or follow-up automation.

Clinical decisions stay with your team

Routine replies use approved business information. Medical, urgent, upset, or unclear inquiries follow a tested staff handoff. After-hours messages use your approved contact instructions and do not claim a staff member is responding unless that is confirmed.

Your veterinarian approves clinical claims

Your clinic reviews clinical statements in ads, pages, and posts before publication. Your team provides current services, hours, policies, and booking rules.

Messaging setup has shared responsibilities

TailWerks configures the applicable registration, approved workflows, and opt-out handling. Your clinic supplies accurate contact data, required consent, and approved message content, and honors opt-out requests. Registration does not replace consent.

Working together

From the first review to ongoing work

  1. Review the clinic and the market

TailWerks: Review visibility, inquiry paths, software access, and the services you want to grow. Your clinic: Share capacity, account access, and one contact for approvals.

  2. Agree on the work

Together: Confirm the package, budget, deliverables, connections, responsibilities, and implementation order. Your written scope sets the production limits and terms.

  3. Build, test, and launch

TailWerks: Build the approved campaigns, pages, or workflows and test relevant contact, booking, and handoff paths. Your clinic: Approve facts, claims, creative, and staff responsibilities.

  4. Report and choose the next priority

TailWerks: Report completed work, qualified inquiries, and the next priorities. Booked appointments and retention measures are reported where reliable clinic data is available. Your clinic: Share lead quality, booking outcomes, and capacity changes.

Finding the right fit

Start with the problem you actually have

For marketing packages

  • Capacity for the services you want to promote
  • Budget for ad spend alongside management
  • Access, accurate information, and a decision maker who can approve work
  • A team that can respond to inquiries and share booking outcomes

For Essentials

  • Calls or messages that need more consistent follow-up
  • A staff member who can supervise the inbox and handle escalations
  • Supported systems and usable data for the agreed workflows
  • No advertising package or extra appointment capacity required

If the clinic needs additional staff, an unsupported software connection, or a service outside our scope, we will identify that before recommending a package.

Next step

Check your market and talk through the fit

Start with your clinic and location. We will review your priorities and explain which option fits, what it costs, and what your team needs to provide. If paid advertising is part of the proposed work, we also check competing clients and confirm the protected service category and market in writing.

Questions from practice owners

Veterinary marketing agency FAQs

What does a veterinary marketing agency do for clinics, practice groups, and franchises?

A veterinary marketing agency helps the right pet owners find your practice, understand your services, and take the next step. At TailWerks, Foundation covers search advertising, core local SEO, the website, and tracking. Growth adds Meta advertising, managed social, and more content and website work. Essentials can run alone or alongside Foundation or Growth for a separate fee; its service scope is included in Scale. For practice groups and franchises, we work through location needs, shared systems, approvals, and reporting before agreeing on a custom scope and price.

Why choose a veterinary marketing agency instead of a general marketing agency?

The useful difference is how the work accounts for a veterinary practice: appointment capacity, routine versus urgent inquiries, clinical approvals, and the limits of practice-management software. Ask any agency how it handles those details and what evidence supports its recommendations. TailWerks plans campaigns around the services your clinic can deliver, checks supported booking and follow-up connections before promising them, and keeps clinical decisions with your team.

What should we budget beyond the monthly fee?

Advertising spend is separate from the management fee. Applicable hosting, software, phone, SMS, email, registration, AI usage, premium automation, and integration costs are also separate, including when Essentials is bundled into Scale. We recommend a media budget after reviewing your market, service priorities, and capacity, then identify the service fee, separate charges, and approved scope in writing.

Does Essentials answer the phone or come with a marketing package?

Essentials sends missed-call texts and supports approved follow-up; it does not answer live calls or staff your inbox. It costs $297/month per location on its own or alongside Foundation or Growth. Scale includes the Essentials service scope in its private quote, so the separate $297 monthly Essentials fee per location ends. Communication usage and approved paid-feature or third-party charges remain separate. Approved routine AI phone answering belongs in the Scale scope.

Do you integrate with our practice-management software?

We check your specific software, access, available data, and supported actions before committing. Appointment reminders, visit-based review requests, and reactivation require the relevant data. Where a connection is unavailable, we explain the limitation and agree what can be delivered.

Can we keep our current website?

Sometimes. We review the site, access, performance, and booking paths first. Foundation includes a complete website build within the approved scope when a rebuild is the right approach. The proposal identifies the work your clinic actually needs.

How quickly can we expect results?

Advertising can begin generating inquiries after launch, while SEO usually needs a longer period to develop. Timing depends on access, approvals, platform reviews, competition, budget, and your team’s response. We agree a working implementation schedule after the review; patient numbers and rankings are not guaranteed.

Do you work with urgent care, emergency, or specialty practices?

Yes, with a scope that reflects the service. Urgent and emergency campaigns need accurate opening hours, service coverage, and staff-approved contact paths. Specialty work may focus on referring veterinarians, pet-owner demand, or both. We confirm those priorities before launch.

Who owns the accounts and systems?

Core marketing accounts use client-owned access, with account structure confirmed during onboarding. Essentials uses TailWerks-managed communication infrastructure. The agreement explains website deliverables, access, hosting, software, and what happens when service ends; those are not all the same type of asset.

What is the commitment?

Essentials uses a six-month rolling contract. Foundation has an initial six-month commitment. Growth uses a six-month rolling contract. Scale requires six months on Growth first and uses a six-month rolling contract, with its price and scope confirmed in the written proposal. The agreement controls renewal and termination.

Will you work with another veterinary clinic in our market?

For paid advertising, we review competing veterinary clients and confirm the protected service category and market in writing before work begins. A groomer or daycare in the same area is a different industry. Protection does not automatically apply to standalone Essentials, every service your practice offers, or every location in a group. The availability review confirms what protection can be offered for the proposed advertising scope.

Can veterinary marketing help us attract more of the cases we want?

We can focus the approved campaigns and service pages on the care you want to grow, such as dentistry, puppy and kitten visits, or a specialty you actually offer. First we review local demand, appointment availability, staffing, and your preferred patient mix. Your veterinarian approves clinical claims. We then use available inquiry and booking data to assess lead quality and adjust priorities; a particular case mix or appointment volume is not guaranteed.

How much time will our veterinarians and practice manager need to spend on marketing?

Your team provides account access, accurate service information, clinical review, and one person who can consolidate approvals. Growth also needs usable photos or footage and input on clinic updates and offers. TailWerks handles the agreed planning, production, setup, and ongoing management. We define the approval process and required inputs before work starts. Your front desk remains responsible for responding to inquiries, handling escalations, and booking patients.

How will we know whether our veterinary marketing is bringing in new patients?

We agree on the measures before launch and connect the available tracking to them. Calls and forms show inquiries; they do not by themselves prove a new-patient appointment. Where reliable booking or practice-management data is available, we use it to connect marketing activity with booked appointments or completed visits. Your team helps confirm lead quality and outcomes. Reporting distinguishes what was measured, what cannot yet be attributed, and what we recommend changing next.
