Account Management Assistant
See what needs to happen next and get it moving before anyone has to ask. Keep client communication, team priorities, meetings, and follow-through moving.
Role details: This is a 100% remote contractor role open to applicants worldwide.
The role
Every client has several workstreams moving at once. A question arrives by email. A decision is made on a call. A designer needs context. An overdue task is holding up the next step. The client should never have to chase us to learn what is happening.
You help prevent that.
This is not a passive administrative role. You will sit in the middle of client requests, account strategy, and work being completed across paid advertising, SEO, web, content, and operations. Your job is to understand what is needed, turn it into clear action, protect the team’s time, and make sure nothing important disappears between conversations.
You will monitor client and internal email, respond to routine messages within your approved authority, draft responses that need Account Manager review, turn requests and decisions into complete ClickUp tasks, and follow those tasks across the team. You will prepare the Account Manager for client meetings, surface risks early, and make sure every conversation ends with a clear next step.
You are not expected to run advertising campaigns or become the strategist for every department. You are expected to understand enough to ask the right questions, know who owns the work, and recognize when something is off track.
What you will own
- Monitor client and internal email during your agreed working hours. Respond, route, or escalate each message according to its urgency and your authority.
- Turn client requests, meeting decisions, and internal commitments into clear ClickUp tasks with the correct owner, dates, priority, time estimate, context, and definition of done.
- Manage the flow of work across the team by checking priorities, deadlines, dependencies, workload concerns, and missing updates.
- Protect the team’s time by making sure people have the context they need before work begins and by catching unclear or incomplete assignments early.
- Follow up on overdue or at-risk work before it becomes a client problem.
- Process client-call transcripts and action items on the same business day.
- Prepare meeting briefs with completed work, current performance context, open questions, risks, client requests, and recommended next steps.
- Keep client records, communication logs, meeting notes, and CRM information current.
- Support approved client communication in GoHighLevel after you have learned the accounts and communication standards.
How our core values show up in this role
Own It
You do not wait for someone else to discover a missed email, an unassigned task, or a deadline at risk. You take responsibility for finding the next step and making sure the right person owns it.
Over Communicate
You keep clients and teammates informed. You share progress, document decisions, and raise blockers early. Silence is not a project-management strategy.
Understand Before Doing
You do not copy a request into ClickUp and call it done. You understand what the client needs, why it matters, who should act, and what completion should look like. If the request is unclear, you ask before sending the team in the wrong direction.
Checked In
During your agreed working hours, you are present, responsive, and aware of what is moving. Email is monitored. ClickUp reflects reality. Meetings are prepared. Teammates do not have to chase you for status.
Results Over Activity
A full task list is not the result. The result is a client request answered, a blocker removed, a meeting prepared, or a commitment completed correctly.
Only Client Energy
Clients should feel that their work matters. They receive clear communication, clean handoffs, and visible progress. Internal confusion stays internal and gets resolved.
Talk Is Cheap
You close loops. If you say something will be handled, you either bring back proof that it was handled or raise the risk before the commitment is missed.
What good looks like
- Client emails are handled the same business day when possible and always within the role’s approved response window.
- Client requests are logged, assigned, and routed on the same business day.
- Action items from client calls are captured accurately and processed the same day.
- Every active ClickUp task has a clear owner, start date, due date, priority, time estimate, useful context, and current status.
- The Account Manager receives a complete prep brief before each client meeting.
- Blockers are raised early, in writing, with the facts and a proposed next step.
- The team spends less time searching for context, correcting incomplete tasks, or asking what happens next.
- Clients hear from TailWerks before they feel the need to chase TailWerks.
You may be a strong fit if
- You are proactive without becoming reckless. You act on what is clear and ask when client-facing judgment or authority is required.
- You can manage several client workstreams without losing the details or the larger goal.
- You are comfortable following up with teammates and asking for a real status update.
- You can read a long email thread or meeting transcript and identify the decision, owner, deadline, blocker, and next action.
- You write clearly, directly, and professionally.
- You notice patterns and suggest a better process instead of repeatedly working around the same problem.
- You care whether the work is actually complete, not just whether the task was checked off.
This role is probably not a fit if
- You prefer to wait for step-by-step instructions before taking action.
- You avoid following up because you are worried about bothering people.
- You let uncertain or bad news sit until someone asks about it.
- You treat ClickUp as data entry instead of the operating record for the team’s work.
- You measure productivity by how busy you felt rather than what moved forward.
- You need constant reminders to check email, update tasks, prepare meetings, or communicate blockers.
Required experience
- Experience in agency operations, project coordination, account support, or client service while managing several workstreams at once.
- Working knowledge of ClickUp or a similar project-management system.
- Strong written English. A large part of this role involves writing to clients and teammates.
- Sound judgment about what you can handle, what needs review, and what must be escalated.
- Ability to maintain an agreed schedule that overlaps U.S. business hours.
Helpful, not required
- Pet-industry experience.
- Familiarity with GoHighLevel.
- Familiarity with Google Ads, SEO, websites, or marketing reporting.
- Experience preparing client meetings, processing call notes, or coordinating work across specialized teams.
